Responsibilities
Reporting to the Boutique Workspace Manager, the Coordinator is responsible for welcoming customers at the boutique, handling incoming calls, and providing administrative support to the boutique and the Manager. This role involves communication with both clients and internal teams.
- Greet customers who enter the boutique and direct them to an available advisor during peak times.
- Process customer orders via email or phone.
- Manage the boutique’s email inbox and voicemail.
- Assist customers when the advisor is on leave.
- Handle customer payment transactions.
- Assist customers with delivery inquiries or refer them to the transportation department.
- Ensure that all customer returns are approved by the manager, create the RM (Return Merchandise), document the reason for return, and arrange for returned or replacement items in collaboration with customer service.
- Coordinate pallet returns with boutique advisors. Email the Transport Department with the number of pallets for tracking.
- Confirm plumbing orders for weekly transfers to the boutique with the Transport Department and contact clients upon receipt of goods.
- Support advisors with incoming stock by filling BOs, informing advisors, and/or calling clients and managing orders using SAP reports.
- Ensure adequate replenishment of office supplies or other items necessary for the boutique's smooth operation.
- Identify discontinued or promotional products in the boutique with appropriate labels.
- Help maintain the showroom to project the Céragrès brand image.
- Open and close the cash register, including balancing daily and sending records to the finance department at headquarters.
- Gather administrative paperwork (invoices or others) for dispatch to headquarters.
- Sort and distribute incoming mail.
- Participate in Céragrès boutique events and their setup.
- Assist with preparing returns received at the boutique for shipment to the Céragrès warehouse.
- Manage sample returns from professionals and clients.
- Ensure sample requests from professionals and clients are fulfilled.
- Place CO orders with headquarters for samples.
- Print labels for samples.
- Update voicemail messages for holidays or other boutique schedule changes.
- Place internal orders (Cellophane paper, bubble wrap) with shipping.
Requirements
- High school diploma
- Minimum of 3 years of experience in customer service
- Proficient knowledge of MS Office
- Fluency in French and English (spoken and written)
- Demonstrated skills in customer service and problem-solving
- Excellent judgment, initiative, and organizational skills
